MemoAmmo — Privacy Policy

1. Who We Are

This Privacy Policy is issued by KSD Inc., an Ontario corporation with its registered office at 4889 A Dundas Street West, Suite 3, Etobicoke, Ontario, M9A 1B2, Canada ("KSD Inc.", "we", "us"). It applies to the MemoAmmo mobile application ("MemoAmmo" or the "App").

2. What MemoAmmo Does

MemoAmmo is an iOS app for managing, organizing, and exporting audio files. Its key feature is AI-powered transcription, which converts your voice recordings into formatted text documents (Markdown, PDF, RTF, DOCX, or plain text). The app also includes an iOS Share Extension that lets you transcribe and export audio directly from other apps.

3. Information We Collect

Audio Data: When you use the transcription feature, your audio files are transmitted to our backend server and then forwarded to OpenAI's Whisper API for speech-to-text conversion. The resulting text may also be sent to OpenAI's GPT-4 for formatting into structured documents. We do not permanently store your audio files or transcription text on our servers—they are processed in memory and discarded after the response is returned to your device.

File Metadata & Technical Logs: When you submit audio for transcription, the file name and technical request metadata (such as timestamp, IP address, and user-agent) may be processed by our hosting infrastructure for security, troubleshooting, and reliability monitoring. We do not use this metadata to profile you, and we do not store audio content or transcript content in these logs.

Subscription & Purchase Data: If you subscribe or purchase additional transcription minutes, payment is handled entirely by Apple through the App Store. We use RevenueCat to manage subscription status. We receive your anonymized subscriber ID and entitlement status—we never see your payment card details, billing address, or Apple ID.

Usage Data: The App tracks your monthly transcription usage (seconds used, seconds remaining) locally on your device using on-device storage (AsyncStorage and App Group UserDefaults). This data is not transmitted to our servers.

Settings & Preferences: Your app settings (export format, sort order, transcription preferences) are stored locally on your device and shared with the iOS Share Extension via App Group UserDefaults. These are not sent to our servers.

No Account Required: MemoAmmo does not require you to create an account, provide your name, email address, or any other personal identifier to use the App.

4. How We Use Your Information

We use the information described above solely to:

• Process your audio files for transcription and return the results to your device
• Manage your subscription status and transcription minute entitlements
• Enforce monthly transcription usage limits
• Improve the reliability and performance of the transcription service

5. Third-Party Services

MemoAmmo uses the following third-party services:

• OpenAI (Whisper & GPT-4): Audio is sent to OpenAI for transcription and text formatting. OpenAI's data usage policies apply to this processing. As of this writing, OpenAI does not use API inputs to train its models. See OpenAI's Privacy Policy.
• RevenueCat: Manages subscription status and in-app purchases. See RevenueCat's Privacy Policy.
• Apple App Store: Handles all payment processing for subscriptions and one-time purchases.
• Vercel: Hosts our backend API that routes transcription requests to OpenAI. No audio or transcription data is persisted on Vercel.

6. Data Retention

Audio files and transcription text are processed transiently and are not stored on our servers. Once the transcription result is returned to your device, the data is no longer held by us. Limited technical request logs (for example, timestamp, IP address, user-agent, and response status) may be retained by our hosting provider for a short period for security and operational monitoring, but these logs do not include stored audio or transcript content.

On-device data (settings, usage stats, transcription files you export) remains on your device and under your control. You can reset all settings and usage data from within the App.

7. Data Security

All data transmitted between your device and our servers is encrypted using HTTPS/TLS. Audio files are transmitted over encrypted connections to both our backend and OpenAI. We do not store audio or transcription data at rest on our servers.

8. Children's Privacy

MemoAmmo is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you become aware that a child has provided us with personal information, please contact us.

9. International Data Transfers

When you use the transcription feature, your audio data is transmitted to servers located in the United States (our backend on Vercel, and OpenAI's API). By using the transcription feature, you consent to this transfer. We rely on appropriate safeguards and take steps to ensure your data is processed in accordance with this Privacy Policy.

10. Your Rights

Since MemoAmmo does not collect or store personal information on our servers, there is generally no personal data for us to access, correct, or delete on your behalf. All your data (files, settings, usage history) is stored locally on your device and can be managed or deleted by you at any time by resetting settings within the App or deleting the App.

If you have questions about data held by third-party services (RevenueCat, OpenAI, Apple), please refer to their respective privacy policies or contact us and we will assist where possible.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date. Your continued use of MemoAmmo after changes constitutes acceptance of the updated policy.
